HCM Lets You Focus on People, Not Paperwork

In corporate America, the role of human resources has expanded beyond hiring, payroll, and benefits administration. HR staff are also striving to maximize the value of their people by managing employees’ skills, education, and performance. In doing so, they’re being challenged to juggle a growing volume of data that must be tracked, updated, and stored securely.

As a result, many organizations have embraced human capital management (HCM) technology to simplify HR and stay in compliance. Using an HCM platform can streamline and automate many HR tasks. The software connects core HR functions, including hiring, onboarding, compensation, training, employee education, and professional development. Plus, it solves the problem of having to enter data in several places.

"Increasingly, our ministry and nonprofit payroll clients have been asking for a tool to help them manage many of these tasks," said Mark Landrigan, assistant vice president of MinistryWorks.

Over the past 10 years, the team at MinistryWorks has been keeping an eye on how human resources management has evolved—both in practice and in technology. That’s one of the reasons it has added an HCM feature to its core payroll functions. "We wanted to have a solution in place for whenever the person in charge of HR for a ministry is ready to reach out for help," Landrigan said.

Many ministries don’t have full-fledged HR departments. In fact, the person overseeing HR functions may hold multiple roles. Using HCM software eases the administrative burden of HR, providing more time to focus on people.

Some have likened HCM to having a virtual HR assistant. The HCM feature offered through MinistryWorks offers secure document storage, painless benefits management, and seamless integration with MinistryWorks payroll.

”Our HCM tool lets you manage the entire lifecycle of an employee, from recruiting through retirement,” said Tonya Miller, MinistryWorks sales manager. “As an HR administrator, it gives you a bird’s-eye view of everything.”

Automating the onboarding process is one of the benefits HCM delivers to ministries, large and small.

Instead of having to send documents back and forth by email, an administrator can share a link to a secure portal where a new hire can complete all of the required paperwork. Not only that, but the new person can also review the employee handbook, watch a welcome video, review benefits information, and more—without stepping into the office.

"Now, ministries are able to have new employees complete much of the required hiring paperwork before their very first day of work, which means they can start training on day one," Miller said.

HCM allows administrators to track applicants’ paperwork completion in real time. Plus, it helps ministries comply with IRS rules for filing required forms, like the W-4 and I-9.

Not only that, but HCM takes the materials created during the onboarding process and securely stores them in a cloud-based system. Throughout the employee’s time with the organization, every important document can be digitally attached to an employee’s file, simplifying retrieval.

"Digital document storage is one of the features our customers love," Miller said. "You no longer have to print out and keep paper files on every person, then try to figure out where they are. It’s all centralized in a single location."

The benefits of HCM extend beyond administrators. The platform empowers employees to view and update their  personal information through a user-friendly portal. Employees can print pay stubs, submit vacation requests, and request changes to their withholdings, beneficiaries, or bank information without having to contact someone in HR.

Plus, HCM works seamlessly with MinistryWorks payroll. Change a deduction, and the system automatically adjusts the next paycheck. There's no paperwork required.

Because HCM is offered through MinistryWorks, it offers the same level of dedicated, ministry-focused support that payroll clients have come to expect, Miller said.
